Considerations on the methodological aspect of event websites

Here is a series of proposed recommendations that aim at develop the chapter 12 of GPOE-

Plan

For direct and for extended participants, alike, the website is the daily “venue” of the process. In it they can perform the following actions

1 Log in and describe themselves,1

2- Search and find partners, see the bottom up program getting of the ground, edit their announcements of activities, assemblies, initiatives. 1

3 - Send messages to each other, merge/agglutinate activities, assemblies. 2

4 -edit links to participation and description forms, to website, to collaborative spaces, to documents , making the event site a very useful hub of information. 2

1 Log in and describe themselves,

This means that website interface, functionalities, and published information would:

a/Provide feeling of inclusion in the processto both individuals (“persusers”) and organizations (collective body = “orgusers”) , to both “direct” (i-e who will come in the central venue of the event) and “extended” participants, being understood, as per WSF charter, that only organizations( “orgusers”) can create activities / assemblies/initiatives. This inclusion is done through having an account, accessing intercommunication features and concrete facilitating information published or sent on a mailing list by the website team

b/Provide adapted registrations /participation for allfor direct participants and extended participant: extended participants do not pay fees, or do not pay the same fees, (depending on OC decision) and have no visa or accommodation consideration. Some other categories may be given a specific registration with regards to their mode of participation in the event

c/Give adequate and equitable visibility for all: Each actor, organization (orgusers) person ( persusers), has a specific limited size “participation page” in the event site, accessible with a specific url – so it can be referenced in an email –and they can edit links inside this page(see point 4) - for orgusers there are several emails copied of messages addressed to the organizations ( see point 3).

d/ Sustain participation as ongoing process:The participation page may involves a pre event part for intentions expectation, a part for intention of collaboration to event organisaiton as volunteers ( volunteers are participants, and participants can be volunteers too) , and a post event part for documentation and evaluation that will be edited after the event (see point 4)

This means that website interface, functionalities, and published information would:

a/Make visible activities , assemblies, initiatives and proposals inside WSF process. Each activity , assembly, initiative, announced by participant organizations has a specific description page in the event site with a specific url – so it be referenced in an email - and can edit links inside this page links that will lead to more specific documentation,( see point 4).There are several personal emails copied of messages sent to these elements ( see point 3) I order to have horizontal . In case of joint activities and assemblies, several or all coorganizers orgusers (optionnal) would be able to have access to the editing of the description form , in order to avoid centralization.

b/Give easy access and search capability in directories of participants bottom up program, showing the announcement of participations as they are made. Allow easy search by fields, full text strings, by tags etc so people can find the agglutination partners they look for

c/Stimulate preparation and participatory character of activities and assemblies “have fields stimulating explicating of methodology of the activity , of its participatory character or not, of how people can participate in its preparation.

d/Clarifyoptions, differences, and steps related to extended participation: extended activities are that either in the main venue or outside of it and allow extended participation ( i-e participation by people who are not located in the main venue ). This comprises local activities, enlarged activities broadcast with prepared remote participation) , distance encounters (long video chat session between two or more location). Give relevant logistical and technical information. Publish the bottom up remote participation program and local program which will be relevant for extended participants,

d/Collect timely the necessary logistical data for designing the final programincluding a great number activities of distance intercommunication activities, and enlarged activities – There can be abbreviated forms at creation of new elements that can be edited more in detail with more fields after its creation

e/Make visible initiatives that are proposed by organizations , jointly or not, so that other participants can review them and contact and show their interest ( point 4)

3 - Send messages to each other, merge/agglutinate activities, assemblies

This means that website interface, functionalities, and published information would:

a/Make interaction and contacts easy shared and horizontal– Internal messaging between participants that are registered as persuser or orgusers of the site, with possibility to copy one other site user in order to initiate threesome contacts - Messages are copied to several persusers behind the collective addressee This initial messaging without display of email is useful to facilitate self agglutination of partners in existing activities or to prepare merging of activities, to search of partners for distance encounters , to inquire about initiatives etc. Behind each collective entity or activity -

b/Make possible and easy,self merging of two activities, initiatives, assemblies into one, which is the basic mechanism of self agglutination , base on common will of two orgusers

c/Make clear the conditions of participation of organizations in the assembly process( each assembly has its own process ) and conditions of decision making and endorsement of those.

This means that website interface, functionalities, and published information would:

Give various link editing possibilities in the participation and description formswill turn the website a very useful information hub.

Link can be of several usage and be edited with comments for clear meaning , Link field/link category will make the meaning of links clearer and searchable by the event facilitators and the

a/simple link editing in some text box section of the form

b/Links for showing relationships between actors and initiativesEditing links field boxes in the organization, initiatives, activity form will be allowing navigation, to show with which other activities proposed by the joint organizers of an activity, et

c/Links for displaying interest to activities/support to initiatives : offer organization and persons possibility to create endorsement/interest link to some activities, assemblies( I wish to participate ) or initiatives ( I wish to participate /support ) Note that this display of interest can be done also in face to face interaction during the final moment of the forum, after assemblies

d/Links for presenting Self organized memory : Using the WSF program of activities as a context , with all the links edited before the event, edit in the participation form links to self documentation of activities and outcomes, shared by participants allowing them to draft ,as a final part of their participation form, short text on their participation and their activities , and edit links to documentation created in other sites , including collaborative site of WSF
