Dear all,

I made a summary of what we discussed in our last online meeting.  Please
feel free to add / correct anything.

Proposed date for next meeting: Monday 20th dec., same time (18hrs Paris)

COMCOM online meeting - dec. 13 2010


Present:

Mallory Knodel, Norma Fernandez, Jason Nardi, Monica Di Sisto, Dan Baron,
Ros Glover, Antonio Pacor, Salete Valesan, Maria Pia Matta, Thais Chita,
Christophe Aguiton, Pierre George, Nicolas Haringer, Jamie, Tidianne Kasse



Issues discussed:

1) Who will be in Dakar

2) What is the logistical situation (mediacenter, other spaces,
connectivity, etc.)

3) How will we coordinate among us and with the local team

4) how to disseminate Dakar infos and raise public/media attention



On point 1:

- Rita, Antonio, Mallory + other 2 from Mayfirst will be there at least a
few weeks before

- Pierre, Jason, Dan, Salete, Pia and maybe Norma will be there during the
Forum


Updates, additions and confirmations will be posted on the mailing list


On point 2:

There finally is some information in the "Communication" section of the
fsm2011.org website, but just in French and Portuguese:

Update by Tidiane Kasse:

Logistic : we received from Dakar University a list of all the rooms and
"amphiteâtre" hat will be avaiable for the WSF. It goes from 2000 to 80
places. We have not yet met to identify what are the places to be to
selected.

Internet Connection: We met the one who is responsible of Internet at Dakar
University. It is not possibiel yet to do the required installation, because
the students are still using the premises. In our planning, it has to be
done in the first week of january.

Content production side / invitations for journalists (press kits,
newsletter, etc)?:

The first issue of the newsletter is done. We will disseminate it this week.
We were waiting for the new logo from the Cultural commission.

Invitation for journalist : we have started to work with local journalists.

Nothing done for international media

We just worked the slogan for the banners, flyers and posters.

We want to start next week a campaign


On point 3 and 4:

There is need to coordinate and have more infos about Dakar
contents/protagonists/facilities.  In particular, need to work on the
following: a general short letter of invitation, updated press pack,
facilities on the field,  the list of hotel, facility for visa.  Antonio and
Monica to work on an invitation letter for the media (especially lists for
tvs and press/mainstream media).


Requests/proposals:

- How does the media accreditation work

- Who is collecting the media registration (and how can it be shared to help
assist)

- Proposal of using the participants database with Nairobi organizations for
the newsletter

- Share any useful material + logo, banners, etc.



Other matters:


1) When next meeting?

Proposing next Monday (20/12/2010), same time

Tidiane proposes a weekly update from now on


2) Communication strategy and plan 2011-2013 to be discussed in Dakar


3) Need map of University and media center plan
